Do's and Don'ts
for
Successfully Using InterSend
We know you're busy and that it's impossible to remember everything you should and shouldn't do with your InterSend AIR System, so we have compiled a list for your easy reference. Make sure you check out the practical tips and ideas offered in both our Do's and our Don'ts. You'll be glad you did!
DO:
Do make sure you have a working Web site for your contacts to visit if you put your Web site address in your signature.
- If it is not working or under construction, you do not offer them much of anything.
- Their perception is that you are not professional and they will go elsewhere.
Do personalize your system. This cannot be stressed enough.
- This system is designed to be personalized.
- You want your contacts to feel that their messages are coming from you, personally.
- You don't want your contacts to realize how easy this is for you, that it is all automatic.
Do set up your Preferences.
Do decide which campaigns you want to start your clients on. WARNING: See Don't Over-assign for important information!
- Evaluate your business in order to decide which campaigns to use.
- For example, if you want to work with past clients, then choose the “Stay-in-Touch” campaign. If most of your leads are buyers, use the “Buyer Campaign." If you choose to work with For Sale By Owners, use the "FSBO Campaign."
Do make sure you read the campaigns and personalize the messages.
- For instance, change "we" to "I," add P.S.s, add your promotions, etc.
Do remember that your first message is the most important one.
- You never get a second chance to make a first impression!
- For example, in the “Stay-In-Touch” campaign, you will want to re-introduce yourself to your past clients. In the "FSBO Campaign," you may decide to see the prospect first and then send the letter. Your initial message should reflect that appointment. Remember, the campaigns are most effective when they sound personal.
Do make sure that all of your clients and contacts are entered into your Address Book. If you'd like a little help with this, see the Adding a Contact section of our User Guide at www.intersend.com/userguide.php#addcontact.
- Begin with your clients and then add your contacts.
- Assign them to one campaign at a time.
Do spice up your messages by personalizing them more and adding color, different formatting, etc. WARNING: See Don't Overdo for important information!
- Different ways to make your messages more attractive and more interesting to your contacts include:
- Add your Web site URL to your signature text (if applicable).
- Add links throughout the text and/or to your signature text.
- Bold text, change colors, center text, etc.

DON'T:
Don't over-assign any of your contacts! Don't put any of them into more than ONE campaign at a time.
- You do not want them to be bombarded with messages.
- The whole concept of InterSend AIR is to keep you in their minds with personalized messages WITHOUT bombarding them.
- If they are in more than one campaign at a time, they will be receiving many messages from you, even multiple messages on the same day, instead of only one every few days.
- If they feel there are too many messages, they will opt-out of your mailing list and you will lose them.
Don't put their names in ALL CAPS.
- Names in all caps are not professional and are perceived as "tacky."
- It instantly tells them that they are not important enough to receive professional-looking emails.
- Capitalize only the first letters of their first and last name.
Don't Overdo the "fancy stuff." Be careful you do NOT overdo it when you add fancy text (bold, italicized, etc.) and other things to your messages.
- Keep it fairly simple. Don't use more than 2 or 3 colors/text changes per email.
- Too many different looks in the same message makes it hard to focus on and read your message. You will lose their interest.
- Don't be afraid to change colors or characteristics of text. Experiment and find out which colors/characteristics (only a few per message, remember!) get you the better response.
- Let the text automatically wrap around in your message. Don't use "hard returns" in the body of your paragraphs.
- Using "hard returns" (pressing the enter key) to make the message look good on your monitor will not necessarily work on other monitors.
- Monitors are different sizes and have different resolutions; what looks perfect on your computer could look very choppy and unprofessional on another monitor.
